The Challenge

The starting point

More than 20,000 communities with no hierarchy, duplicate NIFs, sales cycles over 12 months with no tracking and manual renewals.

The Solution

What we built

We built a 3-level hierarchical CRM (Administrator → Community → Service) in Zoho CRM with 26,660+ agreements, long-cycle blueprints, automatic duplicate NIF blocking, 10-stage pipeline, a 90-day renewal Command Center and 15+ dashboards.

Key features
  • 3-level hierarchy: Administrator → Community → Service
  • Blueprints for long sales cycles
  • Automatic duplicate NIF blocking
  • 10-stage pipeline with tracking
  • 90-day renewal Command Center
  • 15+ operational dashboards

Anatomy of the solution

Model relationships before accelerating sales

From input to outcome: explore the four parts of the journey.

Administrator

The level grouping relationships with communities.

The thinking behind the technology

01 / Business

What really needed solving

Administrator, community and service are not three names for the same customer. They are related levels with distinct identities, agreements and cycles. Without that separation, a duplicate or renewal can affect the whole operation. This case explains how that complexity becomes an ordered business domain.

02 / Design

Why this structure matters

The three-level hierarchy structures context; duplicate tax-ID blocking protects identity; blueprints and the pipeline describe commercial progress. The renewal Command Center adds a time-based view, particularly important when sales cycles exceed a year.

Current relevance and possible evolution

This aligns with Super apps through adapting the system to the real business domain. A superagent could prepare renewal follow-up on top of this structure; committing commercial terms would require business-defined authority.

This connects the case experience to our current services. Proposed extensions are not presented as features already delivered.

Method and scope

How to read the outcome

What to measure

Distinguish communities, agreements and blocked duplicates: they are different units. Measure handling time per case and renewal follow-up on comparable cohorts.

What not to infer

Managed volume expresses scale, not a conversion rate or degree of autonomy.

Basis of this analysis: the description, capabilities and stack published in this case. No new measurements are added and no independent audit of its results is implied.
